Stova and a leading-data organization partnered for the second year in a row for a Sales Kick-Off (SKO) Onsite Event and Virtual Event. This is one of the Company’s largest internal events, showcasing Stova’s expertise in creating and executing a successful hybrid program. The following case study provides an overview of the event, the challenges faced, the solutions implemented, and the outcomes achieved.

Objective

With over 905 onsite check-ins and a staggering 68,883 virtual registrants, this Sales Kick-off Event presented unique challenges. The primary objective was to engage attendees in different ways and foster connections between the virtual and onsite audiences. Additionally, Stova had to find innovative ways to enhance sponsor participation and ensure a seamless experience for all attendees.

Solution

Stova began collaborating with the world’s most comprehensive and broadly adopted cloud service approximately 8-9 weeks before the event. During this preplanning phase, they worked on ideation, scoping, and customizing solutions to meet specific needs. Stova's approach focused on leveraging existing solutions while introducing new innovations to enhance attendee engagement and connectivity.

One of the key goals was to facilitate watch parties, allowing teams to gather either physically or virtually to watch the event together. Stova successfully implemented 509 watch parties, surpassing the initial target of 250. By providing a chat option and video reactions, Stova ensured that both onsite and virtual attendees could actively participate and interact during the keynote sessions.

The sponsorship aspect was significantly revamped to increase opt-in users and leads. Stova replaced the traditional exhibitor booth section with sponsor/company descriptions on the sponsor record, streamlining the sponsorship experience. They introduced two new features: "Ask an Expert" and "Request a Meeting." Attendees could submit a form to ask questions to sponsors or schedule meetings, providing a more personalized engagement. Sponsors could download reports of responses and choose how to respond, resulting in higher sponsor engagement and lead generation. To encourage attendee participation, Stova partnered with a third-party vendor for a photo mosaic. Attendees could upload their photos, and a mosaic displaying all the attendee photos was created in real time. For every photo submitted, a donation was made to the charity Rise Against Hunger, adding a philanthropic aspect to the event. Stova also incorporated gamification elements, including a custom page for break rooms. This page featured point totals, a photo booth, note-taking capabilities, and a playlist section, adding an element of fun and engagement.

The efforts and dedication of Stova's team were acknowledged and appreciated by key stakeholders. The event garnered exceptional feedback due to Stova's customer obsession, visual appeal, user-friendliness, and overall execution.

The event statistics demonstrated the success of Stova's solutions. The event witnessed 906 onsite check-ins and an impressive 47,654 virtual attendees. There were 207 sessions, and the introduction of 509 watch parties significantly enhanced audience engagement. The photo mosaic feature received 1,600 submissions, contributing to the charity initiative. The streamlined sponsorship approach resulted in increased sponsor engagement and generated valuable leads for the event. The implementation of new features, such as "Ask an Expert" and "Request a Meeting," provided a more efficient and personalized interaction between attendees and sponsors.
